Interaction and responsibilities for ACCESS Senior Project Manager

This collaborative page is to assist the ACO in defining their leadership needs and how they interact with the Senior Project Manager.

The goal is to make sure duties are understood by the SPM and ACO leads and that expectations from both sides are understood.

Primary Position Function/Summary for Senior Project Manager:

Provide innovative leadership, coordination, organization, and management for the assigned project(s), implement strategic planning as outlined by project and Center leadership, and maintain and facilitate effective relationships with project stakeholders, including colleagues within NCSA and UIUC and acting as the primary liaison for critical external partners and stakeholders. This Senior Project Management role also establishes goals, work plans, timelines and quality metrics for assigned project efforts and ensures that staff and resources are directed efficiently toward achieving goals within the specified timelines. In addition, this position provides direct and indirect supervisory and professional growth direction to Associate Project Managers and Project Managers, including providing increased understanding of the Center's strategy and project management best practices.

Strategic Needs for ACCESS

Major Duties and Responsibilities of Senior Project Manager:

Independent Project Management

  • Lead project planning activities such as development of plans, project financials, development of SOWs, and identification of resources and availability.

  • Provide leadership under the project lead’s direction, including delegating tasks, determining project milestones and setting deadlines.

  • Implementation and execution of decisions made by the project lead.

  • Track, analyze, and report on project expenditures against the project budget.

  • Using independent judgment, assess ongoing and completed work to improve future efficiencies, formulating and recommending changes to project workflows and management as needed.

  • Independently prepare and communicate project goals to affected stakeholders.

  • Serve as a primary contact/resource for staff regarding project goals, methods, and outcomes.

  • Compile and summarize project information and trends using reports and presentations.

  • Contribute to/assist with the development of new funding and collaboration opportunities through networking with colleagues internal and external to the University

Leadership

  • Direct and/or indirect supervisory responsibility for Associate Project Manager(s) and/or Project Manager(s).

  • Guide and assist in the professional development of NCSA Associate Project Managers and Project Managers.

  • Collaborate with groups within NCSA and/or UIUC to establish and improve policies, processes, and best practices that involve project management principles.

  • Collaborate with NCSA leaders to understand NCSA business strategy and convey that strategy to other staff within NCSA, including how individual projects align with NCSA’s strategy.

  • Lead the assessment of ongoing and completed work, across multiple projects, to improve future efficiencies, formulating and recommending changes to project workflows and management as needed.

Project Management Assistance

  • Work closely with project leadership and staff to both track and drive progress toward ensuring project milestones are met, and that staff effort is aligned with project goals.

  • Monitor and respond to action items and stakeholder requests to ensure projects are moving forward efficiently.

  • Serve as a potential resource person for assisting the project define and achieve project goals, methods, and outcomes.

  • Prepare and draft project reports/written materials, as well as coordinate project team contributions.

  • Actively participate in project meetings, conferences and reviews.
